Create a custom role

1 min read · Updated Jun 2026

Under Settings → Roles, choose New role, give it a name and description, set its information access level, and turn on the View/Edit permissions it needs per area. Save, then assign it to members. You can edit or delete custom roles, but not built-in ones.

When the built-in roles don’t fit, create a custom role with exactly the permissions you want.

Create a role

  1. Go to Settings → Roles and choose New role.
  2. Role details — give it a name (e.g. “Hiring Manager”) and a description.
  3. Information access — choose how much employee information the role can see, from their own record only, up to the entire company (and options in between, such as direct reports or same department).
  4. Permissions — work through each area (Talents, Jobs, Company, Payments, and so on) and turn on View and/or Edit for the permissions this role should have. At least one permission must be enabled.
  5. Click Create role.

Edit or delete

  • Edit a custom role anytime to adjust its name, access level, or permissions.
  • Delete a custom role you no longer need.
  • Built-in roles can’t be edited or deleted — they show a read-only notice. To change behavior, create a custom role instead.

Put it to use

Assign your new role to people when you invite them or by editing a member — see Manage your team (users). For how permissions work overall, see Roles and permissions explained.

Note: Information access and permissions work together: permissions decide what features a role can use, while information access decides whose records they can see within those features.
