How do I add expense line items to my invoice?
When creating an invoice, open the Expense line items section and add each reimbursable cost with a description, quantity, unit price, and a receipt. Expenses are added on top of your contract’s agreed amount.
If you paid for something on a client’s behalf during an engagement — travel, software, or other reimbursable costs — you can add it directly to your invoice as an expense line item, with a receipt attached for review.
Before you start
- An active contract you can invoice against
- A receipt for each expense (PDF, PNG, or JPG, up to 10MB)
Add an expense line item
- Go to Invoicing and click Create Invoice, then select the contract you’re billing for. The agreed amount appears at the top as read-only.
- Scroll to the Expense line items section and click Add.
- Enter a Description (for example, "Client visit travel"), and optionally a Category and Unit.
- Enter the Quantity and Unit Price — the subtotal is calculated automatically as quantity × unit price.
- Upload the Receipt for that expense.
Repeat for each cost. To remove one, click the trash icon beside it.
Note: A receipt is required on every expense line item — you can’t submit without one. Expenses are added on top of your contract’s agreed amount, not deducted from it.
Expenses vs supporting documents
Use Expense line items for reimbursable costs you want paid back. Use the Supporting documents field for reference files (like a summary or timesheet) that aren’t a separate charge.
