How contractor invoices are generated, approved, and paid.
- How contractor invoices are generatedA contract is either billed Per pay period (recurring invoices on a frequency) or Upon completion of service (a one-time invoice). For per-pay-period contracts, the compensation unit decides the amount: Monthly is a fixed set amount, while Hourly and Daily are built from approved timesheets. Recurring invoices generate automatically at the end of each period — typically overnight (around 11 PM in your time zone).
- How do I reject or dispute a contractor invoice?From Invoices, use Reject to send an invoice back to the contractor for correction, or Dispute to formally challenge a charge. Both ask for a reason, which the contractor sees.
- How do I review, approve, and pay contractor invoices?Submitted invoices land in your Invoices list. Review and approve them (or reject/dispute), then pay — Pay Now to send immediately or Schedule Payment to pay on a future date — individually or in bulk. For security, you confirm each payment with a one-time code emailed to you. Processing fees and any currency conversion apply when you pay.
- How do I set a contractor’s invoicing frequency?Set the invoicing frequency on the Job and compensation step. It controls how often invoices are generated. Whether an invoice is based on timesheets or a fixed amount depends on the compensation unit (Hourly/Daily = timesheets; Monthly/fixed = set amount).
- How does contractor invoice auto-approval work?You can let invoices skip manual review when they meet rules you set on the contract — below a threshold, a fixed monthly amount, or backed by approved timesheets. Auto-approved invoices move straight toward payout.
- How your organization’s time zone affects automatic billingAutomatic tasks like generating recurring invoices run once a day at a set hour in your organization’s time zone — which is based on your company’s registered country. Recurring invoices generate end-of-day (~11 PM local), scheduled invoices issue in the morning (~7 AM local). The one exception is scheduled (pay-later) payments, which run on a fixed UTC time.
